Privacy Policy

Wellyfy License (“we”, “our”, or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your information when you use the Wellyfy License mobile app, web app, and related services (the “Service”). By using the Service, you agree to the practices described in this policy.
1. Information we collect
1.1 Information you provide
- Account information: When you create an account, we collect your email address and, if you choose to sign in with Google, your name and profile photo from your Google account.
- Profile and licensure information: Information you enter in the app about your background (e.g. ECFMG status, USMLE steps, visa type, target states), career goals, and any details you provide when generating a licensure plan or using the LinkedIn-based plan feature.
- License Guru and chat: Questions and messages you send in the License Guru AI chat. These are processed to provide answers and are not used to train general-purpose AI models.
- Vault documents: You may upload documents (e.g. credentials, transcripts) to the secure vault. These are stored in encrypted form; we do not read or use the contents for any purpose other than storing and retrieving them at your request.
1.2 Information collected automatically
- Usage and progress: Plan progress (e.g. completed steps, checkmarks), practice exam answers and scores, and similar in-app activity so we can save your progress and tailor the experience.
- Device and technical data: Device type, operating system, app version, and similar technical information to support compatibility and security. We may use Firebase Analytics (or similar) for aggregated usage statistics; this data is not used to identify you personally for advertising.
2. How we use your information
- To create and manage your account and authenticate you.
- To generate and update your personalized licensure roadmap and to power the License Guru AI chat and practice exam features.
- To store and retrieve your vault documents securely and to allow you to export them when you choose.
- To save your progress, preferences, and settings across devices.
- To improve the Service (e.g. fixing bugs, improving performance, and developing new features) using aggregated or anonymized data where possible.
- To communicate with you about the Service (e.g. important updates or security notices) where necessary.
We do not sell your personal information. We do not use your data to train general-purpose AI models.
3. Data storage and retention
Your data is stored using Google Firebase (Firebase Authentication, Cloud Firestore, and Cloud Storage). Firebase is hosted on Google Cloud and is subject to Google’s privacy and security practices. Firestore and Storage are configured so that your data is accessible only in accordance with our security rules (e.g. only your own account can access your plans and vault).
Vault documents are encrypted on your device before upload; we do not have access to the unencrypted content. Only you can decrypt and view your vault files with your account.
We retain your information for as long as your account is active. When you delete your account (see below), we delete your account data and associated content from our systems, except where we are required to retain certain data for legal or operational reasons (e.g. backup retention for a limited period).
4. Sharing and third parties
We share data only as follows:
- Firebase / Google Cloud: Account, profile, plan, progress, and vault metadata (and encrypted vault files) are stored with Firebase. Google’s use of this data is governed by the Firebase Privacy and Security documentation and Google’s general Privacy Policy.
- AI services: License Guru and plan generation use an AI service (e.g. Google Gemini). Questions and relevant context you provide are sent to that service to generate responses. Responses are not used to train public models.
- Payment processing: If you make in-app purchases or subscriptions, payment data is handled by the applicable store (e.g. Google Play, Apple App Store) or a payment provider (e.g. Stripe). We do not store full payment card details.
- Legal and safety: We may disclose information if required by law, to protect our rights or the safety of users, or to enforce our terms.
We do not sell or rent your personal information to third parties for their marketing.
5. Your rights and choices
- Access and correction: You can view and update much of your profile and preferences directly in the app.
- Deletion: You can delete your account and associated data at any time (see Section 6).
- Export: You can export your vault documents from within the app. Other data (e.g. plans) can be reviewed in the app; if you need a portable copy, contact us.
- Opt-out of analytics: You may be able to limit analytics via your device or browser settings; we do not use your data for cross-app advertising.
If you are in the European Economic Area, United Kingdom, or another region with similar privacy laws, you may have additional rights (e.g. right to portability, restriction of processing, or lodging a complaint with a supervisory authority). Contact us to exercise these rights.
6. Account and data deletion
You can permanently delete your account and the data associated with it at any time:
- Open the Wellyfy License app.
- Go to Settings (gear icon).
- Tap Delete account and follow the on-screen instructions (e.g. re-enter your password or sign in again to confirm).
This will remove your account, profile, licensure plans, progress, vault documents, and other data we hold. Deletion is permanent and cannot be undone. If you use Google Sign-In, you may also need to revoke the app’s access in your Google account settings if desired.
7. Security
We use industry-standard measures to protect your data, including secure connections (HTTPS/TLS), authentication, and access controls. Vault documents are encrypted before they leave your device. Despite our efforts, no system can be guaranteed completely secure; we encourage you to use a strong password and keep your account credentials private.
8. Children
The Service is not directed at children under 13 (or the applicable age in your country). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.
9. International transfers
Your data may be stored and processed in the United States or other countries where our service providers operate. By using the Service, you consent to such transfer. We ensure appropriate safeguards (e.g. standard contractual clauses or adequacy decisions) where required by law.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page and, for material changes, we may notify you in the app or by email. The “Last updated” date at the top indicates when the policy was last revised. Your continued use of the Service after changes constitutes acceptance of the updated policy.
